Vocaform Terms of Service
Vocaform is a trading name of EF Osteopathic Clinics Ltd, registered in Ireland.

1. Agreement

By creating a Vocaform account you agree to these Terms of Service. These terms constitute a legally binding agreement between you — the therapist or clinic — and EF Osteopathic Clinics Ltd trading as Vocaform.

2. The service

Vocaform is a Clinic Relief Technology platform that provides AI-guided case history interviews, clinical documentation tools, and automated report generation for physiotherapists, chiropractors, and osteopaths in private practice.

Vocaform is a clinical tool. It does not replace clinical judgement, diagnosis, or treatment. All clinical decisions remain the sole responsibility of the therapist.

3. Subscription and payment

Vocaform is offered on a monthly subscription basis at the rates published at vocaform.ai at the time of signup.

A 30-day free trial is available to new subscribers. No payment details are required during the trial period. At the end of the trial period you will be invited to subscribe. If you do not subscribe your account will be deactivated.

Subscriptions are billed monthly. You may cancel at any time. Cancellation takes effect at the end of the current billing period. No partial refunds are issued for unused days in a billing period.

Prices may be updated from time to time. You will be given 30 days notice of any price change before it takes effect.

4. Data and privacy

As a Vocaform subscriber you are the data controller for your patients’ clinical data. Vocaform is the data processor acting on your behalf. By subscribing to Vocaform you enter into a Data Processing Agreement with EF Osteopathic Clinics Ltd on the terms set out at vocaform.ai/data-processing-agreement.

You are responsible for:

  • Obtaining appropriate patient consent before sending a Vocaform interview link
  • Ensuring your use of Vocaform complies with your professional body’s guidance on clinical records and data protection
  • Maintaining the security of your Vocaform login credentials

5. Anonymised research data

Where patients consent to research use at the start of their Vocaform interview, anonymised data — age in years, sex, condition, diagnosis, treatment approach, and outcome — may be used by Vocaform for clinical outcomes research, product improvement, AI model improvement, benchmarking reports, and publication of anonymised aggregate findings. This data may also be shared with or licensed to third parties including research institutions, healthcare organisations, and commercial partners for clinical research and product development purposes.

This data contains no name, address, email, date of birth, clinic name, or therapist name. It cannot be linked back to an individual patient or clinic.

Patients who opt out of research use at the start of their interview will not have their data included in the anonymised research dataset. Their clinical data will be used solely for the purposes of their own clinical care as described in the Privacy Policy.

6. Data retention on cancellation

Following cancellation of your Vocaform subscription your clinical data remains accessible for export for 30 days. After this period all identifiable patient and therapist data is permanently deleted from Vocaform’s servers. Anonymised research data — where patient consent was given — is retained as part of the anonymised outcomes dataset and cannot be deleted.

7. Acceptable use

You agree to use Vocaform only for its intended purpose — clinical case history gathering and documentation in a professional healthcare setting. You agree not to:

  • Use Vocaform to collect data from individuals who are not patients of your clinic
  • Share your login credentials with individuals outside your clinic
  • Attempt to reverse engineer or replicate any part of the Vocaform platform
  • Use Vocaform in any way that breaches applicable law or professional regulations

8. Availability and support

Vocaform aims to maintain platform availability at all times but does not guarantee uninterrupted access. Scheduled maintenance will be communicated in advance where possible. Support is available at info@vocaform.ai.

9. Intellectual property

All content, design, software, and materials on the Vocaform platform and website are the intellectual property of EF Osteopathic Clinics Ltd trading as Vocaform. You may not copy, reproduce, distribute, or create derivative works from any part of the Vocaform platform without prior written permission.

10. Limitation of liability

Vocaform is a clinical documentation tool. EF Osteopathic Clinics Ltd accepts no liability for clinical decisions made on the basis of information gathered through the platform. All clinical responsibility remains with the therapist.

To the maximum extent permitted by Irish law, EF Osteopathic Clinics Ltd’s liability to you is limited to the subscription fees paid in the three months preceding any claim.

11. Governing law

These Terms of Service are governed by the laws of Ireland. Any disputes arising from these terms will be subject to the exclusive jurisdiction of the Irish courts.

12. Changes to these terms

We may update these Terms of Service from time to time. Changes will be posted at vocaform.ai/terms-of-service with the date of the most recent update. Continued use of Vocaform following an update constitutes acceptance of the revised terms.
